Instructions for Oral Presentation General Information: With submission of your abstract to WAVES 2001, you agreed to present your paper on the day, time, and in the mode of presentation assigned by the Program Committee. Oral presentations are scheduled throughout the week (schedule link), and times given in the abstract volume are subject to change without prior notice. Session and room assignments for each presentation will be provided at registration and on this web page (give link). Sessions will be held on the Bay Level (2nd floor) of the Hyatt Regency, Monday through Wednesday (3-5 September 2001), 0900h through 1800h.

Presentation Preparation: Please prepare visual aids with large text and graphics that will be visible from the back of the session rooms (approximate distance of 15 m). Each paper is limited to 25 min, with 18 min for presentation and 7 min for questions/answers. Plan your talk to fit these time constraints. One slide per minute is typically a good pace. A speaker preparation room will be available throughout the conference to test audio visuals. Information on audio-visual equipment is given below.

Your Presentation: Speakers are asked meet with their session chairperson 15 min prior to the start of their session in the assigned session room. Please provide the session chair with the completed speaker information card you will be given at registration. Each paper is allotted 25 minutes (18 min for presentation and 7 min for questions/answers). As a courtesy, session chairs will discretely signal speakers at the 15- and 18-min points in their presentations. Speakers are asked to use microphones, so that presentations can be heard clearly throughout the room.

Audio-Visual Equipment and Internet Access: Audio-visual (AV) equipment available for oral presentations include a microphone, one overhead projector, one slide projector, and one LCD projector (presenters must supply their own laptop computers). If additional AV equipment is required for your presentation, you are responsible for supplying the equipment or making prior arrangements through Mike Hemsley (Mike.Hemsley@noaa.gov). Internet access is not available in the session rooms.

Instructions for Poster Presentation

POSTERBOARD SIZE: 3.5 ft. high X 5 ft. wide

General Information: With submission of your abstract to WAVES 2001, you agreed to present your abstract on the day, time, and in the mode of presentation assigned by the Program Committee. You have been assigned to a POSTER session at the time listed on your acceptance letter; this cannot be changed. Poster presentations are scheduled throughout the week (see schedule) and times as given in the abstract volume are subject to change without prior notice.

Poster Preparation Place the title of your paper prominently at the top of the poster board to allow viewers to identify your paper easily. Indicate 1) the presentation number of the abstract, 2) title, and 3) author(s) names. Highlight the authors' names and address information in case the viewer is interested in contacting them for more information. Prepare all diagrams or charts neatly and legibly beforehand in a size sufficient to be read at a distance of 5 feet. Type should be at least 1 inch (2.5 cm) high. Use creativity by using different font sizes and styles, perhaps even color. Double-space all text. Use different colors or textures for each line or bar contained in your graph or chart. Organize the paper on the posterboard so that it is clear, orderly, and self explanatory. You have complete freedom in displaying your information in figures, tables, text, photographs, etc. The presentation must cover the same material as the abstract. Label different elements as 1, 2, 3, or A, B, C. This will make it easier for a viewer to easily follow your display. Include the background of your research followed by results and conclusions. A successful poster presentation depends on how well you convey information to an interested audience.

Your Presentation Poster sessions will be held in the Bayview B foyer. Posterboards will be provided as well as minimal supplies such as thumbtacks, pushpins, tape, and scissors. Additional supplies may be available, however, if you have special needs for your poster presentation, we suggest you bring those supplies with you to the meeting. To locate your assigned posterboard, look for the board with your paper number on it. Authors will be responsible for securing their poster to the easel. All posters should be placed on the posterboards between 0730h-0800h on the day of your presentation. Posters must remain up the entire day. All materials must be removed by 1800h. Posters remaining after these times will be removed. The WAVES 2001 organizers will not be responsible for posters and materials left on poster boards after the stated hours. You are required to be present at your board during your scheduled presentation time which will coincide with the morning and afternoon coffee breaks as given in the conference schedule. You are welcome to invite conference participants to view you poster at other times during your scheduled day.

Audio Visual Equipment and Internet Access Use of audio-visual (AV) equipment during the poster presentations is allowed, however AV equipment will not be not provided, access to electrical outlets will not be available, and internet access will not be available. We suggest use of battery operated laptop displays if you desire to enhance your poster presentation.

Instructions for Preparation of Manuscripts

Instructions for preparation of manuscripts for the Proceedings of the WAVES 2001 Conference. The instructions are intended to give an example of an acutal properly formatted manuscript. So please download the document and use it as a template for your own paper. Although it is preferred that the manuscript be submitted on letter size (8.5 in by 11 in) paper, you may use A4 (210 mm by 297 mm) paper.

To be on the safe side, please print out the document on paper to make sure that all text, figures, and tables fit within a 14.5-cm wide by 22.5-cm long area, approximately centered on the paper. Note that the mail and courier delivery address is included on the Author Instuctions.

In addition, please find a form with the copyright transfer agreement that you need to send in together with your paper (1 orig. + 1 copy), proceedings reprint order form, and permission letter for use of copyrighted material.

The Author Instuctions Letter given below is in WORD. If you would like to use a style sheet that is very similar but for Latex users, try this latex style sheet. It is very nearly the same.
